The following document details the Terms & Conditions which govern Island of Insanity 2020 (hereafter referred to as the “Event”), and which attendees and their room guests agree to by purchase of tickets to said Event.
1. Event admission
1.1. Admittance. Your registration and ticket purchase entitles you to admittance to the Event. Any and all other costs associated with your attendance (including but without limitation any travel and/or accommodation expenses outside of those specified at the time of booking) shall be borne solely by the attendee.
1.2. Termination. You acknowledge that Tabletop Tribe reserves the right to request your removal from the Event if Tabletop Tribe, in its sole discretion, considers your presence and/or behaviour to create a disruption or to hinder the Event and/or the enjoyment of the Event by other attendees. This includes behaviour online (e.g. forums and social media spaces) before the Event takes place. In the event of such exclusion prior to the Event taking place, the Refund procedure outlined below in 3. Substitution and cancellation policy will be observed.
1.3.a Media. By attending the Event you acknowledge and agree to grant Tabletop Tribe, their sponsors, affiliates and collaborators in the Event, and other attendees, the right at the Event to record, film, photograph or capture your likeness in any media now available and hereafter developed and to distribute, broadcast, use or otherwise globally to disseminate, in perpetuity, such media without any further approval from you or any payment to you. This grant includes, but is not limited to, the right to edit such media, the right to use the media alone or together with other information.
1.3.b If whilst attending the Event in any capacity and creating media as specified in 1.3.a, you agree to publish via digital or print outlets only such media as is properly attributed to the Event and to Tabletop Tribe, and to respect the wishes of any attendee as laid out in 1.3.c.
1.3.c You may request to be omitted from any recorded media at the time of capture, or request that no likeness of yourself be included in any disseminated media provided such notice is given in writing a minimum of 7 days prior to the scheduled commencement of the Event.
1.4. Event Content. You acknowledge and agree that Tabletop Tribe, in its sole discretion, reserves the right to change the timetable and content of the Event.
2. Fee(s)
2.1. Payment. The payment of the applicable fee(s) for the Event is due upon receipt of an invoice. If such payment is insufficient or declined for any reason Tabletop Tribe may refuse to admit you to the Event and shall have no liability in that regard.
2.2. Taxes. The fee(s) may be subject sales tax, value added tax, or any other taxes and duties which, if applicable, will be charged to you in addition to the fee(s).
3. Substitution and cancellation policy
3.1. After purchasing a ticket for the Event, should you wish to cancel your attendance, the following refund policy shall apply:
90+ days before the day of the event: Full refund
89-60 days before the day of the event: 50% refund
59-30 days before the day of the event: 25% refund
29 days or less before the day of the event: No refund
3.2. All refunds (including full refunds) shall be subject to a £45 administration fee
3.3. Tabletop Tribe will endeavour to resell any cancelled tickets to the Event, in which case a full refund may be offered (minus admin fee) even less than 89 days from the Event, and reserves the right to resell (and thus refund) a ticket at a discount.
4. Privacy policy
4.1. Tabletop Tribe is committed to protecting the privacy of its attendees. Any and all personal information provided by you, including but not limited to email addresses, home addresses, payment details, telephone numbers, social media accounts shall never be disseminated to any third party apart from where necessary for the providing of services related to the Event. No such details shall be sold or passed on in any way to any third party for marketing purposes unless agreed to in advance by you.
4.2. Any personal information collected in relation to the Event shall be stored on a secure server, accessed solely by Tabletop Tribe employees.
4.3. No payment information related to the Event shall be stored by Tabletop Tribe at any time.
4.4. Tabletop Tribe may use contact information to notify attendees regarding specifics of this Event, or advance notice of future Events. You have the right to unsusbcribe from any such updates at any time.
5. Intellectual property
5.1. All intellectual property rights in and to the Event, the Event content and all materials distributed at or in connection with the Event are owned by Tabletop Tribe and/or its affiliates at the Event. You may not use or reproduce or allow anyone to use or reproduce any trademarks or other trade names appearing at the Event, in any Event content and/or in any materials distributed at or in connection with the Event for any reason without the prior written permission of Tabletop Tribe or the owner of such intellectual property.
5.2. For the avoidance of doubt, nothing in this Agreement shall be deemed to vest in you any legal or beneficial right in or to any trade marks or other intellectual property rights owned or used under licence by Tabletop Tribe or any of its affiliates or grant to you any right or licence to any other intellectual property rights of Tabletop Tribe or its affiliates, all of which shall at all times remain the exclusive property of Tabletop Tribe and its affiliates.
6. Warranties and limitation of liability
6.1. Tabletop Tribe gives no warranties in respect of any aspect of the Event or any materials related thereto or offered at the Event and, to the fullest extent possible under the laws governing this Agreement, disclaims all implied warranties, including but not limited to warranties of fitness for a particular purpose, accuracy, timeliness and merchantability. Neither Tabletop Tribe nor its affiliates can accept any responsibility or liability for reliance by you or any person on any aspect of the Event and/or any information provided at the Event.
6.2. Other than to the extent required as a matter of law neither Tabletop Tribe nor its affiliates shall be liable for any direct, indirect, special, incidental, or consequential costs, damages or losses arising directly or indirectly from the Event or other aspect related thereto or in connection with this Agreement.
6.3. The Attendee agrees to act in a personally responsible way with regard to the location, geography , terrain and weather possibly encountered at the Event location, and take necessary steps to clothe and equip themselves for their comfort and safety for the duration of the Event, having been notified by Tabletop Tribe of likely conditions prior to the Event.
6.4. The maximum aggregate liability of Tabletop Tribe for any claim in any way connected with therewith or this Agreement whether in contract, tort or otherwise (including any negligent act or omission) shall be limited to the amount paid by you to Tabletop Tribe under this Agreement to attend the Event.
7. Governing law and jurisdiction
7.1. This Agreement shall be governed by the laws of the United Kingdom and the parties shall submit to the exclusive jurisdiction of the United Kingdom courts.
